The role

We are seeking a Regional Coordinator to support our Western Canadian Region. Our ideal candidate is passionate about supporting the Head of the Western Canada region and Calgary regional hub team in building meaningful relationships with current and potential clients plus our extensive network. The Regional Coordinator requires exceptional oral and written communication skills and a high degree of organization. They have a desire to learn the ins and outs of relationship development and client service and be able to navigate a highly dynamic and fast-paced environment. This role has a big impact on Grayhawk’s business and culture as they directly support the team that initiates our client growth and services our clients in Western Canada.

Here’s what we’re looking for in our Regional Coordinator, Western Canada:

  • You have a Bachelor’s degree and relevant experience with a deep understanding of businesses that are focused on client/customer service. Experience in an entrepreneurial/fast-paced environment would be preferable, and a master’s degree would be an asset.
  • You are confident and poised in your verbal communication, with exceptional writing skills in English.
  • You are resourceful, agile, and can balance the big picture with delivering on short term tasks. You are always ready to roll up your sleeves to support changing needs and asks. You can handle ambiguity, are self-driven, able to multitask and manage dynamically changing, competing priorities and deadlines.
  • You have a personality type that is outgoing, energetic, and enthusiastic. You love an opportunity to host and have a passion for developing and nurturing strong relationships rooted in trust. You reflect Grayhawk’s brand in every interaction.
  • You actively participate in delivering an exceptional client experience, working in collaboration with the broader team to bring Grayhawk’s relational and service approach to everything you do.
  • You are steadfast in your integrity and have exceptional attention to detail, you are highly organized with the ability to translate and execute on tasks in an efficient and effective manner and maintain strict confidentiality in all manners of your role.
  • You are highly motivated to help grow our business and are not afraid of the hard work that it takes, with a deep focus on enabling the Head of the Region and your team to connect with prospects and offer exceptional service to clients. You are driven by opportunities to continually improve how our firm delivers on our value proposition.
  • You are technologically savvy and have advanced-level Microsoft Office proficiency including Outlook, Word, Excel, and PowerPoint. You also have an aptitude (and excitement!) to learn new software and systems. Experience with CRM software such as Salesforce would be a tremendous asset.
  • You have a growth mindset, love to read and are the type of person who is ‘up for anything’. You keep up to date on macro-trends, world affairs and continually seek personal opportunities to grow and develop. You have a variety of personal interests and hobbies and often find yourself seeking out new adventures or experiences.
  • You understand the complexities and expectations of successful families and foundations. You can create an environment that aligns with their preferences and lifestyle from accommodating their schedules to choosing the right ambience for in-person connections.

Responsibilities include but are not limited to:

  • Everyone recognizes you as the ‘Air Traffic Control’ for the region. You support the Head of the Region and the Regional Hub team to strategically design and steward prospect and client connectivity in an 8-12 week rolling interval. You strategically guide the execution of details that matter, all in support of those who connect with Grayhawk having an exceptional experience.
  • You are a master at proactively corresponding with our ecosystem including current clients and prospects acting as an extension of the Grayhawk brand.
  • You prepare detailed reports and presentations for the Regional Hub by leveraging both the team and our CRM. In addition, you help to prepare, and in some cases join the client facing team for meetings, conversations, and external engagements ensuring all information is current and you have included all details, and background necessary to offer an exceptional interaction.
  • You support the Regional Hub to efficiently respond to all client queries and support activities in a timely manner, working across both the Regional Hub team and National teams when required.
  • You join both the regional and national client facing teams to actively participate in strategic planning and contribute to the successful execution of strategic initiatives for the region.
  • You research regional markets and trends to support growth in the region. You actively source, research and maintain prospect, client, Center of Influence, and network contacts and support the Regional Hub with CRM updates in conjunction with the client facing and experience teams.
  • You work in collaboration with the Experience Team and the Regional Hub on the execution of external events and client hosting in the region.

Qualifications

  • Bachelor’s degree in Business Administration, Marketing, Communications, or a related field.
  • Minimum of 3 years of experience, ideally in wealth management, financial services, or a related industry.
  • Excellent interpersonal and communication skills, with the ability to build and maintain client relationships.
  • Detail-oriented with strong analytical and problem-solving skills.
  • Proficiency in Microsoft Office.
  • Ability to work independently and as part of a team in a fast-paced, dynamic environment.
  • Demonstrated ability to manage multiple tasks and prioritize effectively.
